Position Summary: The Sales Coordinator provides support to a Director of Sales. The Sales Coordinator is responsible for maintaining client  database including; updating files, records and other documents, act as a liaison between hoteliers and clients to communicate accurate information and provide quick turn-around of requests for proposals (RFP’s). The Sales Coordinator is also responsible for sending out client RFP’s to hotel members with Krisam lead sheets, following up on responses, and compiling response grids to send back to clients. Provide administrative support, including word processing, faxing, filing answering phones, composing and editing correspondence. Organize and assist with mass mailing and marketing projects. Assists with Krisam or other Trade shows and events as needed. May create contact sheets for all member hotels and their sales representatives. May, on occasion be responsible for office management duties, such as assisting with printer/copier function, ordering office supplies, scheduling office appointments/visits/ May also assist with new employee orientation to the office.

Role Qualifications/Skills:

  • Pleasant disposition
  • Highly organized and be completely knowledgeable with Outlook, Excel and Microsoft applications
  • Ability to assist in the detailed daily operations with an ability to work under pressure managing multiple tasks
  • Ability to read and interpret documents such as RFP’s and sales grids. Ability to speak effectively to hotels and clients, supervisors and employees
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ration, and percent
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several variables. Having the ability to be discrete when communicating with hotels and customers
  • Ability to be highly organized and cope well in a fast paced environment. Adapts to changes in the work environment; able to deal with frequent change, delays, or unexpected events
  • Professional, pleasant personality and able to work and communicate with a diverse group of people, approaches others in a tactful manner; reacts well under pressure
  • Ability to work under pressure and manage deadlines independently
  • College degree
  • Two years related work experience
  • Monitors own work to ensure quality and accuracy
  • Looks for and takes advantage of opportunities; asks for and offers help when needed
  • Meets challenges with resourcefulness; develops innovative approaches and ideas
  • Minimum of Associates degree from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience

Position Responsibilities:

  • Support  Sales Executive(s) with sales and marketing efforts
  • High level of client and hotel correspondence
  • Direct liaison between Krisam properties, GEP DMC’s and clients
  • Evaluate and compile responses from properties for submission to clients
  • Provide high level of customer service to meeting and event planners by assisting with site/destination selection, evaluating RFP’s and proposals, problem solving, and meeting strict deadlines
  • Assist with Krisam events and trade shows
  • Responsible for prioritizing, and coordinating internal activities
  • Administrative support; word processing, filing, answering phones and emails on behalf of the sales executive
  • Data entry and management of company wide database
  • Organize and assist with mass mailings and marketing projects
  • Provide support to the other office coordinators and managers whenever needed

Valued but not required skills and experience:

  • Hotel or Hospitality experience
  • File Maker Pro
